Privacy Policy

By Willow Hair Studio respects your privacy. This page explains, in plain language, what information is collected when you use this website or visit the studio, how it is handled, and what you can ask us to do about it.
01Who we are
This policy applies to By Willow Hair Studio, Shop 5, 53-55 Barkly Street, Mornington VIC 3931. You can contact us about anything on this page at willow@bywillow.com.au.
02What we collect
When you book or enquire, we collect the details you provide: your name, contact details, appointment history, hair and colour notes, and any photos you share for consultation purposes.
We also collect the health-related details you tell us that affect your service, such as allergies, sensitivities, scalp conditions or pregnancy. This is sensitive information under the Privacy Act, it is collected only with your consent, and it is used only to keep your service safe.
We do not store your card details. Payments are handled by our booking provider and never pass through this website.
03How we use it
Your information is used to manage bookings, prepare for your appointments, respond to enquiries, send appointment reminders and, if you have opted in, occasional studio news. We never sell your information.
04Photos of your hair
Before and after photos are only ever shared on the website or social media with your permission, asked at the time. Saying no never affects your service, and you can withdraw permission later by contacting the studio.
05Third-party services
Online bookings and payments are handled by Timely, which stores its data outside Australia. By booking online you agree to your booking details being handled under Timely's own privacy policy.
Pages showing the studio location embed a Google Map. When that map loads, Google receives your IP address and may set its own cookies, under Google's privacy policy. We do not control that.
We only ever share what these services need in order to function.
06Analytics and cookies
This website does not run analytics, advertising or tracking cookies, and does not profile visitors. The only cookies that may be set come from the embedded Google Map described above.
If we add website analytics in future, this page will be updated before it goes live.
07Marketing and opting out
There is no newsletter signup on this website. If you have opted in to studio news when booking, every message includes an unsubscribe link and you can opt out at any time by using it or by emailing the studio. Appointment reminders and booking confirmations are not marketing and will continue regardless.
08Storing and protecting your information
Your information is held in our booking system and studio records, protected by access controls and kept only for as long as we need it, or as long as the law requires.
If we ever have a data breach likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme.
09Access and correction
You can ask what information we hold about you, request corrections, or ask for it to be deleted, at any time by contacting the studio. We will respond within a reasonable period, and if we cannot do what you have asked we will explain why in writing.
10Complaints
If you think your privacy has been mishandled, please tell us first at willow@bywillow.com.au so we can put it right. We will acknowledge your complaint and respond within 30 days.
If you are not satisfied with our response, you can take the matter to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
11Changes to this policy
If this policy changes, the updated version is posted on this page with a new date at the top.
